Reception Desk PC: Cleanup and Privacy Hardening That Actually Matters

The real risk is residue, not hacking

Think about what a shared browser remembers after a month at reception: the booking site with a session cookie still alive, the courier portal with autofilled addresses, the manager's mailbox tab that someone closed but never signed out of. Windows piles on its own trail — jump lists in the Start menu, Quick access showing the last opened files, the print spooler holding jobs from the morning, the clipboard keeping the last phone number someone copied.

The fix is a machine that forgets by design, not a memo asking staff to be careful. Give the desk a standard, non-administrator account for daily work; browsers on it should not save passwords or payment data at all; a visitor who needs something looked up gets an InPrivate window, which discards everything the moment it closes.

• Sign out of every web session — mail, banking, booking portals — not just close the tab
• Clear the Downloads folder: invoices, guest documents, scanned IDs linger there for months
• Empty the Recycle Bin and check the print queue for stuck jobs
• Remove any USB stick a guest brought and eject it properly
• Lock the station — Windows key + L — every time you step away, even for a minute
• Open a new InPrivate/Incognito window for any lookup done for a visitor

Set it up so it forgets on its own

In File Explorer Options → General, untick "Show recently used files in Quick access" and "Show frequently used folders in Quick access" — the desk's file trail stops building itself. In Settings → Accounts → Sign-in options, make sure automatic sign-in is off and the screen demands a password after a few idle minutes. Full-disk encryption with BitLocker is the one thing you set up once and thank later: reception hardware is exactly the kind that walks out the door.

Schedule the deep cleaning instead of hoping for it.
